What does an Administrative Assistant do?

An Administrative Assistant traditionally supports an organization through general clerical and administrative activities. They provide administrative support to either individuals or teams, serve as a first point of contact for clients and customers, and work to ensure smooth day-to-day operations.

An Administrative Assistant is involved in organizing and maintaining files and records, preparing documents, scheduling meetings and appointments, and providing general support in the office. They also handle incoming and outgoing official correspondences, take minutes of important meetings, and manage phone calls.

Administrative Assistant Responsibilities

  • Perform office-related tasks, such as filing, generating reports and presentations, preparing for meetings, performing research, and ordering office supplies.
  • Provide real-time scheduling support by booking appointments and preventing scheduling conflicts.
  • Handle travel arrangements, such as booking flights, cars, and making hotel and restaurant reservations.
  • Screen phone calls and route callers to the appropriate party.
  • Greet and assist visitors.
  • Assist with incoming and outgoing mail service. x
  • Maintain polite and professional communication via phone, e-mail, and mail.

Administrative Assistant Qualifications

  • Associate’s Degree or equivalent in a related field.
  • At least one year of prior administrative experience.
  • Tech savvy and willing to learn new software programs.
  • A strong attention to detail.
  • A positive and proactive attitude with a team-player mentality.
